ApprentiScope Now Integrates with Workday to Streamline RTI Tracking

We are excited to announce that ApprentiScope now integrates with Workday. Registered Apprenticeship sponsors who deliver Related Technical Instruction through Workday no longer have to move grades between systems by hand or register apprentices for courses in more than one place. ApprentiScope's new Workday integration connects your learning environment directly to your apprentice records, so accounts, enrollments, and final grades flow between the two platforms automatically. 

The Power of Integrating an AMS and an LMS

Your LMS is built to deliver instruction, and it does that well. It tracks course progress, hosts content, and records final grades. But Related Technical Instruction is only one requirement of a Registered Apprenticeship. Sponsors also have to document on-the-job training hours against specific competencies, administer wage progression schedules, run performance evaluations, manage employer and training partner relationships, and produce audit-ready records for RAPIDS, their State Apprenticeship Agency, and any grant they’ve accepted. No LMS was designed to do that, and most sponsors end up filling the gap with spreadsheets.

An Apprenticeship Management System handles the other 80% of the program. Rather than replacing your LMS, it connects to it: ApprentiScope creates learner accounts, enrolls participants in courses, and pulls grades and completions back automatically. Instruction stays where it belongs, and the complete apprentice record, including RTI, OJT, wages, and compliance, lives in one place your program managers and auditors can actually use.

Benefits of Using ApprentiScope and Workday

One source of truth for every participant. Workday is where instruction happens. ApprentiScope is where the full apprenticeship record lives, including RTI, on-the-job training hours, wage progression, competency evaluations, and compliance documentation. With the two connected, your program managers see all of it from one place instead of stitching together exports from separate systems.

No more double entry on enrollment. Enroll a participant in a course once, from ApprentiScope, and the Workday enrollment happens automatically. This prevents program staff from needing to switch between tabs to reconcile multiple lists of who is supposed to be in which cohort.

Automatically sync grades to ApprentiScope. When an apprentice completes a course, the final grades sync automatically from Workday to ApprentiScope, eliminating the need for manual data entry or logging grades in more than one system. Final grades and course completions post to the participant's ApprentiScope record as soon as Workday marks them complete.

Audit-ready compliance reporting. RAPIDS submissions, State Apprenticeship Agency reviews, and grant outcome reporting all depend on accurate RTI records. Pulling grades directly from the system of record removes the transcription errors that manual entry introduces, and gives you a defensible trail when a funder or auditor asks for it.

How the Integration Works

Setup takes a few minutes and happens entirely in your account settings. Once connected, the integration supports three things:

1. Create accounts. Generate learner accounts in Workday for new participants directly from ApprentiScope. If a matching account already exists, we link the two records instead of creating a duplicate.

2. Enroll in courses. Select participants from your Apprentice Overview page and enroll them in mapped Workday courses without leaving ApprentiScope.

3. Sync grades and completions. When a participant completes a course, the final grade and completion status flow back into their ApprentiScope RTI record automatically.
